Welcome to the Meeting Room Reservation Page

The Library’s Community Meeting Spaces

The Library is pleased to offer community meeting space to our members and our community at the locations listed below. Use of these spaces is free of charge except for private social events, after-hours use, non-profit fundraising events and for-profit use. See the room listing for fees associated with these uses.

Our community meeting spaces are available for use during regular library hours and can be reserved up to four times during one month. Rooms can also be used on a first-come-first-served basis by checking availability at the library’s customer service desk.

For questions regarding The Library’s community room spaces, contact Kelly Kautz at 717-652-9380 or roomrequest@dcls.org.

Room Reservation Timing

Room reservations are accepted on a 60-day rolling schedule. For example, on June 15 you will have the ability to reserve rooms through August 14. This is a permanent change to our room reservation system. If you have any questions or concerns please email roomrequest@dcls.org.

Steps to request a meeting room reservation using our new meeting room software

1) Please read the Meeting Room Policy and Meeting Room Agreement before you reserve a room.

2) Click the “Book a Space” link.

3) Choose the location that you’d like to reserve and click the “Go to Date” link to navigate to the day you want to reserve.

4) Use the bottom slider to find your start time, then click on the grid at this time. The software will automatically reserve a 4-hour block of time. You can change the ending time for your reservation by using the dropdown menu below the grid. (Be sure to include set-up and clean-up time as part of your reservation.)

5) Please note that the total cost showing reflects the value of your room use and will be waived during the approval process unless your reservation is for a private social event, a non-profit fundraising event or a for-profit use.

6) Click the “Submit Times” link and proceed to fill out the “Booking Details” on the next page.

7) Submit the “Booking Details” by using the link at the bottom of the form. You will be taken to a reservation confirmation page and and will receive a reservation confirmation in your email. A personal email from a library staff member will follow with your reservation approval and any fee details.

Walk-in Meeting Room Use

Rooms can also be used on a first-come-first-served basis by checking availability at the library’s customer service desk.
After-Hours Meeting Room Use
Approved after-hours use would be an event or program sponsored by The Library, one of our Friends Groups activities or an event held jointly with one of The Library’s partnering organizations.

To request approval and to book library spaces for special events outside of library hours, contact the Marketing & Public Relations Manager at 717-234-4961 x1110.
